How the Saint Paul's School Bathinda app handles your information and your ward's.

App: Saint Paul's School Bathinda on Google Play (com.saintpaulsbathinda.parents)
Last updated: 3 November 2026 · Version: 0.6

Who is responsible

Saint Paul's High School, Bathinda runs this app. The school is run by St. Paul's Educational Society, Bathinda, Adarsh Nagar, Street No. 9, Goniana Road, Bathinda 151003, Punjab. The school decides what is collected and why, and is responsible to you for it. The app is published on Google Play by Eishan Lawrence, for the school and with its permission. He builds and publishes the app and does not use your information for his own purposes.

Who this is for

The app is for parents and guardians, who are adults. Students do not use it. It shows you information about your ward (the student you are the parent or guardian of).

What we keep

About your ward: name, admission number, class and section, date of birth, gender, date of admission, whether currently enrolled, and daily attendance. If you gave it to the school, your ward's Aadhaar number is kept encrypted. It is used only for the school's admission record and for student details the school must submit to government education portals such as UDISE+. It is never shown in the app. Aadhaar is not a condition of admission.

About you: your name, your relationship to your ward, your mobile number and (if given) email, and your app account.

From the app: the app has no passwords and does not ask for your phone number or email. When you sign in, your phone sends the school's server: the parent code and sign-in code from your slip (or from a code shown on another of your phones); the version of this policy you accepted; a random installation number the app makes for your phone; the app version; a sign-in key the app makes (the server keeps only a scrambled copy of it); your phone's notification address (if you turn on notifications); and which messages you have read. All of this goes over an encrypted (HTTPS) connection. The school also keeps security logs of sign-ins and of notifications sent.

On your phone: your wards' names and classes, attendance, holidays, notices and attachments are shown from the school's server and held in the app's memory. Attachments are deleted from the phone when you close them. Your sign-in key is kept in Android's encrypted storage. A phone you have not used for 180 days is signed out.

Camera and photos: the camera is used only to read the QR code on your slip. If you choose a photo of your slip, the app reads it through Android's photo picker. Pictures are not saved or sent anywhere. The app does not ask for access to your files.

The school keeps your ward's admission record and your contact details to run the school, whether or not you use this app. This policy is about the app.

What we use it for

Only to run the school and keep you informed: marking and reporting attendance, telling you when your ward is absent, sending school notices, and signing you in safely. Today the app shows attendance (today and a monthly calendar), school notices and circulars with PDF or image attachments, optional push notifications, and lets you switch between your wards. It does not handle payments. If the school later adds something new, such as fee payment, the app will show you an updated notice and ask you again before it handles that new information.

Who else handles the data

  • DigitalOcean rents the school its server. The server is in Bangalore, India.
  • Google Cloud stores encrypted daily backups in its Mumbai region, India.
  • Google Firebase Cloud Messaging delivers notifications. It receives your phone's notification address and the technical details needed to deliver a notification. A notification carries no school records, only a prompt to open the app. Google also keeps technical records about delivery to run and secure its service.

These companies process data on the school's instructions and must not use it for advertising or their own marketing. Apart from student details the school must submit to government education authorities, nobody else receives your information. The app has no advertising, no analytics, no crash-reporting service, and no access to your location or contacts.

What we never do

No advertising, no selling of data, no profiling of your ward through the app, and no sensitive details in notifications. A notification only tells you that something needs your attention.

Who can see what

You can see only your own wards. School staff see only what their role needs. The school's front desk cannot see student records at all.

Security

There are no passwords. Connections are encrypted (HTTPS) only. Sign-in keys are stored in Android's encrypted storage, and the server stores only a scrambled copy of them. Sign-in codes work once and expire: slips after 30 days, and “Add another phone” codes after 10 minutes. Each account can be on at most 5 phones. Staff access is limited by role and logged.

The school can sign out a phone. If you lose a phone, ask the office for a new-phone slip; using it signs out your other phones. If someone else has your unlocked, signed-in phone, tell the office at once. If a data breach affects you, the school will tell you and the Data Protection Board of India as the law requires.

How long we keep things

  • Your ward's school record (name, class, admission details, guardian contact): while your ward is enrolled, then 7 years after your ward leaves, then erased from the system. The paper admission register stays the school's permanent record.
  • Attendance: the current and previous school year in the system. Older years are kept with the school record (7 years after your ward leaves).
  • School notices, circulars and attachments: the current and previous school year, then deleted.
  • Your app account and phones: until you delete the account, the school closes it, or your ward leaves. Phones not used for 180 days are signed out.
  • Proof that you accepted this policy: as long as your account exists, plus 1 year.
  • Security, audit and notification-delivery logs: 1 year.
  • Web server logs: a few weeks.
  • Backups: made daily and deleted after 60 days, so deleted data is gone from backups within 60 days.
  • If a law requires us to keep something longer, we keep it as long as required.

Your choices and rights

You can:

  • ask the school office, in writing, for a summary of what we hold about you and your ward and who handles it;
  • ask the office to correct mistakes;
  • delete your app account (see below), which also withdraws your consent for the app;
  • nominate, in writing to the school office, a person to exercise these rights for you if you die or cannot act;
  • sign out of any phone from the Account tab at any time.

To use these rights, contact the school office or write to admin@saintpaulsbathinda.com. We reply within 30 days.

Deleting your account

Tap “Delete my app account” on the Account tab. You can also ask at the school office or by email to admin@saintpaulsbathinda.com. Signing out alone does not delete anything on the server. The steps, and what is kept, are on Delete your parent app account.

The button works at once. It deletes your app account, signs out every phone, and removes your phones' notification registrations and your read and unread marks. It does not delete the school's records of your ward (name, class, attendance, guardian details) or the paper files the office holds; those are kept for the times above. Security and audit logs and the record that you accepted this policy are kept for the times above, then erased. Backups are deleted after 60 days. To use the app again, visit the school office for a new sign-up slip; this can take a few days.

Information about students

Information about students is processed with the consent of a parent or guardian, given when you first sign in with a sign-up slip. We do not track or monitor students' behaviour, show them advertising, or contact them through the app.

Problems or questions: Grievance Officer

Eishan Lawrence, Grievance Officer, admin@saintpaulsbathinda.com. You can also raise a problem in person at the school office. If we do not resolve it, you may complain to the Data Protection Board of India.

Changes to this policy

If we change this policy, we will update this page and the date at the top. If a change matters (such as adding payments, or changing what the app collects), the app will show you the new version and ask you to accept it again. Earlier versions are available from the school office.
